Bucks Pottery and Sculpture Society (BPSS) is committed to protecting personal data provided by its members. The following information is provided to give more detail of how we use the information you provide to BPSS.
1. Data Use
The information you provide on your membership form and otherwise during your membership will be used solely for the purpose of processing your membership application and dealing with you as a member of BPSS. For example:
- sending your BPSS newsletters by post or by email;
- sending you updates on BPSS events;
- informing you of pottery-related items for sale by other potters;
- informing you of pottery-related events such as exhibitions and training courses from other Guilds, Societies and potters;
- reminding you when your membership is due for renewal.
We do not collect or process sensitive personal data such as race, ethnic origin, physical or mental health, political or philosophical views or sexual orientation. We will never sell, rent or exchange your details with any other organisation.
On rare occasions if members provide their bank details to the BPSS Treasurer, the details are only retained for the requested payment to be made via online banking and are then destroyed subject to accounting requirements. Details of the transaction will be retained by our bank according to their normal policy.

What personal data we collect and why we collect it
Comments
When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.
An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.
Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.
Contact forms
We store user input data sent through the contact forms on this website, along with meta information about the submissions, including the time stamp, the origin IP address, and the user agent (browser). The information is sent as email messages that only a select few members of the committee are allowed to access, in order to respond appropriately. The information is also stored in the database on our hosting server for backup and later reference purposes.
Cookies
If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.
If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.
When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.
If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Who we share your data with
If you request a password reset, your IP address will be included in the reset email.
How long we retain your data
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.
For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
What rights you have over your data
If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

3. Working with third parties
In some cases we work with external suppliers to provide certain services, currently only for printing the BPSS newsletter, and Potterycrafts LTD (for members 10% discount). All data is transferred securely and all external suppliers are informed that the data is only to be used for our specified purpose.
4. Photographs and filming at BPSS events
From time to time we take photographs or film footage at BPSS events and activities. These photographs and films are used solely to further the aims of BPSS, for example to include in our own newsletter, social media, leaflets or posters or to show at BPSS events.

5. Privacy and data protection
BPSS complies with all applicable UK and EU data protection legislation in force in respect of any personal information you submit to us. The personal data you submit to us will only be used for the specified purposes indicated to you and will not be passed onto unauthorised third parties without your explicit consent.
You can contact us to amend or remove any information you submit to us – please email buckspotterysculpturesociety@gmail.com You can unsubscribe from BPSS emails by emailing buckspotterysculpturesociety@gmail.com stating that you wish to unsubscribe.
6. Other websites
BPSS website may contain links to other websites which are outside our control and are not covered by this privacy notice. If you access other sites using the links provided, the operators of these sites may collect information from you that will be used by them in accordance with their privacy policy, which may differ from ours.
